1. Who we are
Sutantraa Consulting India Pvt Ltd ("Sutantraa", "we") runs the BGV CRM Portal to carry out background verification and onboarding on behalf of hiring organisations. This policy explains what personal information we collect, why, and how we protect it.
2. Information we collect
- Identity and contact details: name, email, mobile number, employee ID, gender, photograph.
- Documents you upload: for example identity and address proofs, PAN, Aadhaar, education and employment records, payslips and resume.
- Joining details: emergency contact, blood group, address, bank account, IFSC and UAN submitted during onboarding.
- Verification results: outcomes and remarks from each check.
- Usage data: sign-in times, device sessions and activity logs kept for security and audit.
3. Why we use it
- To carry out your background verification and report the result to the hiring organisation.
- To manage your onboarding and joining formalities.
- To operate, secure and audit the Portal, and to contact you about your verification.
We process your information with your consent and for the employment purpose it was provided for.
4. Who we share it with
- The hiring organisation (our client) that requested your verification.
- Institutions, previous employers, referees, banks and public or government sources, only as needed to complete a check.
- Service providers who help us run the Portal, under confidentiality obligations.
- Authorities, where the law requires it.
We do not sell your personal information.
5. How we protect it
Access is limited by role and requires sign-in. Passwords are stored in hashed form, sessions expire after inactivity, and administrator actions are recorded in an activity log. No system is completely risk free, but we take reasonable steps to prevent unauthorised access.
6. How long we keep it
We keep information only as long as needed for the verification and onboarding purpose, and for any period required by law or by our agreement with the hiring organisation. After that it is deleted or anonymised.
7. Your rights
You may ask us to access, correct or delete your personal information, to withdraw consent, or to raise a grievance, subject to applicable law. Withdrawing consent may mean we cannot complete your verification.
8. Cookies
The Portal uses a session cookie to keep you signed in. It is needed for the Portal to work and is not used for advertising.
9. Changes to this policy
We may update this policy from time to time. The latest version is always available on this page.
